Offt 216 Professional Office Practice Simulation            

 

Class:  Tues. – 2:00 – 3:50 p.m.                          Instructor:  Mrs. Payette

Course Description:       Working in a model office handling machine dictation, correspondence, and documents pertaining to the administrative, medical, or legal office.  Strengthening word processing, spreadsheet, and database skills.  Internet applications.  Strengthening of keyboarding and spelling skills. Career information.

 

 

Prerequisite:      Offt 114 (Keyboarding 2B), Offt 120  and Offt 220 (Word Processing I and II)

 

Textbooks Required:

Coasters, Etc., An integrated Office Simulation, 1998 Edition, by Maureen L. Margolies, South-Western Publishing Co.

 

Supplies:           3 ½” high density disk                3 Manila Folders

                                    Notebook for handwritten class notes and taking Minutes of meetings.

 

 

Objectives:

 

1.                   To learn the specific routines and duties in a simulated professional office.

2.                   To make decisions, plan, and prioritize work.

3.                   To follow written and oral instructions.

4.                   To complete documents according to instructions in a procedures manual and text.

5.                   To understand the importance of human relations in an office setting.

6.                   To establish good work habits:  pleasant attitude, efficiency, good attendance and punctuality, ability to proofread, production of mailable work, and ability to keep calm in stressful situations.

7.         To understand the concepts of chairing/attending a monthly business meeting;

            taking notes and participating in a proactive manner.

8.         To understand and gain practice of a real interview process, as well as develop a portfolio used in the interview itself based on documents prepared within Projects assigned.

 

 

            Course Structure: 

 

I.                    Simulated Office Experience—Various Administrative Projects within Business, Medical and Legal Field

II.                  

A.                 Employment at Coaster’s, Etc. as an Administrative Assistant.

 

 

 

 

 

B.        Computerized Tasks which cover the following:

         Sending and receiving E-mail messages, using basic and advanced word processing functions to prepare letters, memos, reports, agendas, brochures (3-fold), and templates.  Emphasis on spreadsheets and database applications.  Using the Internet to research information.

         

         Each project has at least two managers (students) assigned to control the project, record arrival time of students (logging in) maintain test sign up sheets and control Contract Goals during each class.  These managers are selected on a rotating basis (from Project to Project).

C.        At end of each project, the group will conduct a Group Sales Meeting.  Assigned individuals will hold meeting and remainder of class will type minutes individually and submit to instructor.

 

D.     Various test may be ongoing throughout these projects or held within the last few weeks of class.  These tests include information pertinent to office work in the field (i.e., time zone tests, proofreading tests, scanning test, machine transcription test, telephone etiquette, spelling, honomyms, record management/filing, etc.)  Students must pass each test at 85% or better before moving to next test.  They sign up for tests each class and the Managers and/or Instructor ensures tests are available on date requested.

           

II.   Medical/Legal Documentation – All documents are reviewed prior to each lesson and may be prepared using a Machine Transcriber.  Sample documents are distributed to each student for additional guidelines.  Some vocabulary in each field is also studied as it pertains to the medical and legal industry.

PLEASE NOTE: You are encouraged to bring your laptop to school for taking notes and participating in class. Do not create any type of INTERNET CONNECTION unless asked to by the professor. Any violation of this will result in your dismissal from the classroom.

 

 

 

This class is a class to reinforce our ability to manage time.  Each lab will be utilized for the student to complete their work.  It is up to each student to use his or her time wisely.  Absolutely no extensions will be granted to students due to absenteeism, etc.  If a student is absent from class, it is their responsibility to e-mail Instructor and find out what was assigned, etc.  All homework must be printed out BEFORE class – no exceptions to this rule.  Upon entering office/classroom, student will sign in.  While signing in, there will be a bin in which student drops off their homework, on their way in.  Homework will not be accepted after this sign in period.  This is an office simulation class – therefore, arriving on time to class is also expected and will heavily weigh on your final grade (just as you would arrive on time in your job).

            1).  Speak with me during the first two weeks of class.
